SUMMARY:
The Transportation Coordinator works to provide oversight and direction to the Transportation Department within Health and Human Services (HHS). This role is critical to ensure access to essential health care, social services, and community-based programs offered by HHS Departments for tribal members, particularly elders, individuals with disabilities, and those in need of medical transportation. This role’s focus is ensuring a positive experience for clients by supporting and demonstrating good customer service, efficiency, sustainability, while providing a quality service. This role is responsible for coordinating staff schedules, vehicles schedules, and fleet maintenance, along with ensuring compliance with local, Tribal, State and Federal Regulations. Performs data entry in an EHR when appropriate and/or required. Strong computer and communication skills required. Must be familiar with Office 365 and have a basic understanding of operational procedures based on industry standards in the related fields. Knowledge, experience, and/or understanding of Mille Lacs Band of Ojibwe’s culture and community needs.
QUALIFICATIONS:
• Minimum of high school diploma or GED is required.
• Knowledge of Band and other local health and social service resources.
• Two (2) years of experience in transportation coordination, fleet management, and/or a related field.
• Local Travel within District 1 is required.
• Travel to District 2 and District 3 is required.
• Knowledge of HIPAA, patient confidentiality, and general confidentiality is required.
• Knowledge of Tribal, State, and Federal Transportation regulations.
• Strong Organizational and time-management skills.
• Excellent communication and interpersonal skills.
• Ensure compliance with tribal, state, and federal transportation regulations.
• Ability to work and communicate sensitively, confidentially, and effectively with patients, families, public agencies, and co-workers.
• Ability to read and write to maintain logs and prepare monthly reports.
• Experience in and sensitivity to Native American culture.
• Must have valid MN driver’s license and must be insurable under the Mille Lacs Band Drivers Insurance policy.
• Strong computer skills.
• Understanding and ability to operate copy machines and other office equipment.
• Stooping, kneeling, and crouching to retrieve and put away supplies and materials.
• May require the ability to travel throughout the county to various clinic locations.
• May require the ability to lift and carry equipment weighing up to 35 lbs.
• May require the ability to climb stairs to access work sites.
• Must have current valid driver’s license.
• Must be insurable under the Mille Lacs Band Drivers Insurance policy.
• Must pass a pre-employment drug and alcohol test.
DUTIES AND RESPONSIBILITIES:
• Oversees, manages, and evaluates the day-to-day operations for staff involved with Transportation for Health and Human Services.
• Create, manage and relay Transportation Staff schedules to the appropriate departments
• Works to ensure timely and efficient schedules and time management for transportation specialists.
• Develop and maintain optimized routing schedules for transports to regular service locations.
• Provide Excellent customer service to tribal members, addressing concerns and resolving transportation related issues.
• Assist clients with special needs ensuring the proper accommodations are made for accessibility and comfort.
• Communicates with clients, patients, providers, health and social services agencies to confirm transportation needs and appointments.
• Inform Mille Lacs Band Tribal and community members regarding health and social services availability within the community.
• Conduct and facilitate training and education programs for transportation staff.
• Oversee the preventative maintenance, repairs, inspection of department vehicles to ensure reliability.
• Maintain accurate record of including but not limited to transporter activity, vehicle usage, milage, and maintenance schedules and report this information periodically.
• Assist clients/patients with handicapping conditions, chronic and catastrophic illnesses, and unusual circumstances.
• Works closely with other departments to ensure transportation services are coordinated for programs and events.
• Completes and reviews documents completed by Transportation specialist to maintain accurate record keeping systems.
• Assist in managing the Transportation Budget.
• Tracks expenses related to transportation and identify cost saving opportunities.
