SALARY RANGE: $30.04 - $39.00

SUMMARY:
The goal of this position is to ensure service excellence, information accuracy to support third party billing and reimbursement. The Client Access Manager is responsible for the supervision of HHS scheduling and registration staff. Duties include employee supervision, monitoring of quality assurance measures, orientation of new employees and oversight in ongoing staff training.
QUALIFICATIONS:
• Associates degree in healthcare related field of study with seven (7) to ten (10) years of experience, preferably in the ambulatory care setting.
• Demonstrated experience in the core business functions of the healthcare revenue cycle required, with three (3) to five (5) years’ experience in registration and scheduling.
• Lean Six Sigma certification required or must achieve within one year of employment.
• The position requires the ability to independently plan, schedule, organize and respond appropriately on a wide variety of subjects and situations. Client experience, and Clinician schedules are dependent upon the activities of the registration and scheduling, timely completion of duties and follow-up is critical.
• Analytical ability required to evaluate processes and to recommend improvements as necessary.
• Demonstrated oral and written communication skills to communicate verbally or in writing with clients/patients, clinicians, and department staff.
• Demonstrated commitment to formalized orientation and on-going education of staff.
• Demonstrated skill and outcomes in project management highly preferred as this position will be responsible for leading the planning, implementation and management of centralized registration and scheduling.
• Demonstrated knowledge of registration, and scheduling regulatory guidance and billing practices, as well as an understanding of how these areas impact the flow of work throughout HHS is required.
• Demonstrated skill in establishing accountability to established policies and procedures, monitoring the accuracy of registration and scheduling data entered, ensuring proper client experience protocols are in –place and followed.
• Demonstrated skill in developing registration and scheduling staff schedules and in making recommendations on process improvements between departments.
• Demonstrated skill in budget planning and management.
• Must have a current valid driver’s license.
• Must be insurable under the Mille Lacs Band insurance policy.
• Must pass a background check.
• Must pass a pre-employment drug & alcohol test.
DUTIES AND RESPONSIBILITIES
• Ensures the accuracy and completeness of client registration and scheduling.
• Ensures a high level of quality service.
• Responsible for adequate staffing and overage in all client access areas.
• Collaborates with HHS Finance and IT teams to assess the feasibility of implementing Point-of-Service collective activity.
• Ensures proper utilization of RPMS.
• Manages work flow barriers and resolves problem situations appropriately and independently.
• Develop staffing calendars and assure staffing needs are met. Implement alternative staffing patterns as needs arise, taking into consideration department budgetary constraints and performance requirements and restrictions.
• Interview and make hiring decisions to maintain adequate staffing.
• Review and process time cards in an accurate and timely manner. Maintain accurate employee attendance files.
• Provide timely performance improvement feedback and coaching. Manage staff performance.
• Respond to employee questions/concerns on an individual basis as needed.
• Conduct team meetings to apprise staff of changes and to address broader-based program area issues and initiatives.
• Develop, recommend and implement policies and procedures for the registration/scheduling and monitor adherence to policies and established procedures.
• Develops and utilizes reports and dashboards to monitor the productivity for registration and scheduling.
• Monitor the accuracy of data entry for demographic and insurance information
obtained by staff; investigate errors, suggest changes and/or implement solutions.
• Monitors accuracy of scheduling functions, clinician templates and makes
recommendations on template changes to best utilize clinician time, while ensuring patient satisfaction.
• Maintains a solid understanding and knowledge of payer requirements, registration and scheduling workflows, as well as referral requirements to ensure staff follows established procedures to maximize reimbursement.
• Tracks common barriers and concerns and provides training to staff to prevent reoccurrence. Works collaboratively with, other divisions on issues relating to patient registration, scheduling, patient flow, insurance verification, referrals and reimbursement issues. Represent the department in meetings and on committees relating to these issues.
• Serves as an escalation point for client issues and questions. Assists staff with complex client concerns.
• Develops training modules for registration and scheduling and maintains training records.
• Schedule and facilitate cross-training of employees.
WORKING CONDITIONS:
• Nature of work is such that incumbent experiences infrequent periods of moderate stress levels; workload may be a source of stress.
• Work is exclusively indoors in a controlled climate area.
• Little risk of danger or injury in the job.
• Hours are typically 8-5, but possibly some extra hours may be needed.
