Assistant Court & Administrative Clerk

SALARY RANGE: $19.00-$25.65

Summary:
The Assistant Court & Administrative Clerk is responsible for providing a wide variety of clerical and administrative activities in support of the Mille Lacs Band Tribal Court. These activities include clerk support, administrative tasks and receptionist duties.
Qualifications:
• High School diploma or GED certificate, required with a minimum of five years office experience required.
• Or
• A combination of one year of post-secondary education and three years of office experience required.
• Excellent understanding of spreadsheets required; and strong familiarity with Microsoft Word and Outlook. Knowledgeable of is a plus.
• Excellent interpersonal skills and ability to maintain a good working relationship with the public and co-workers.
• Strong organizational and communications skills required.
• Able to multi-task and remain calm under pressure.
• Self motivated with strong work ethics.
• Ability to handle highly confidential data.
• Ability to type 45 wpm, required. (Typing test will be administered.)
• Ability to file with accuracy, required. (Filing test will be administered.)
• Familiarity with and ability to operate various office equipment including; fax machines, dictation equipment, copier, scanner, etc.
• Valid and current Minnesota Driver’s License and insurable by the Mille Lacs Band insurance policy, required.
• Unblemished background as background check will be performed.
• Complies with the Mille Lacs Band drug and alcohol policy.
• Must have a current, valid MN drivers licenses, and be insurable under the Mille Lacs Band insurance policy.
Duties and Responsibilities:
Court Administration Function
• Provides support to many roles of the tribal court including the judge, lawyers, court staff and litigants.
• First line of interaction with general public such as greeting visitors; provide general information as necessary; refers visitors to appropriate court personnel.
• Answer telephone, screen calls; respond to general inquiries or transfer calls to the appropriate court personnel, take and deliver messages as necessary.
• Intake of all court filings by reviewing for accuracy as determined by policies and date/time stamps the daily filing of court documents and records.
• Data entry of all court cases filed into the FullCourt Management system.
• Creates and prepares case files and distributes to proper court clerk.
• Copying of court documents for clerks
• Maintains a payment log; collects and receipts fines, filing fees and court costs.
• Monitors the front door so only authorized visitors enter the court offices.
• Assists with setting up swearing in oath scheduling with Justices.
• Assist with the retention and destruction of court files.
• Provide assistance for overflow clerking duties as assigned by Clerks or Administrator; such as mailing orders/judgments, preparing notices and summons; fill-in for clerk duties in the courtroom, when necessary.
• Assist visitors with filing documents with the court without giving legal advice.
• Participates in the bi-weekly clerk meetings and may participate in the weekly court case reviews, if required.
• Assists with annual bar association dues and new attorney applications.
• Type correspondence, memos, reports, bulletins, newsletters and schedules for the courts, as appropriate.
• Inputs statistical data into database for use in departmental reports.
• Ensures that all court forms, brochures, Q & A pamphlets are stocked.
Office Administration Function
• Responsible for ordering supplies & purchasing, and prepares check requests on behalf of the departments.
• Tracking of income and expense spreadsheet for the court and other grant programs.
• Twice a day collects and distributes mail. Tracks and records certified mail.
• Makes daily deposits with the finance office on a weekly basis.
• Making travel arrangements for judges and staff.
• Special errands such as picking up supplies, dry cleaning of judges robes, etc.
• Maintains bulletin board of public announcements and job announcements.
• Keeps office area clean and orderly.
• Other duties as assigned.
Working Conditions:
• Nature of work is such that stress at times is substantial, however not every day.
• Work is exclusively indoors in a controlled climate area.
• Moderate threat of personal danger or risk due to being the front line of the court system.
• Hours are typically 8-5, but possibly with some extra hours.
• Local Travel is required; minimal non-local travel.
