Acquistion Specialist/Real Estate Clerk

SUMMARY:
The Acquisition Specialist / Real Estate Clerk processes leasing and documents on band owned properties including trust and fee lands. Provides support in the area of surveying, mapping, land ownership research. Will need to collaborate with the Land Manager to ensure the operations and maintenance of the buildings and grounds meet code regarding Band and other jurisdictional requirements.

QUALIFICATIONS:
• A high school diploma or GED is required.
• Minimum of Associate Degree as an Administrative Assistant or Legal Clerk, with four (4) years of experience in real estate related position
• Personal computer skills in a Windows environment, including Word, Excel, PowerPoint, Laserfiche and database management.
• Familiarity with and ability to operate various office equipment including fax machines, dictation equipment, photo copying machines, etc.
• Basic knowledge and interpretation of surveying and mathematics as applied to survey methods.
• Must have good verbal and written communication skills
• Strong knowledge and awareness property functions and needs.
• Self-motivated individual with the ability to work with minimal supervision.
• Must possess strong organizational skills and ability to meet deadlines.
• Excellent case and file management skills, stress management and time management skills
• Must be able to maintain confidentiality
• Ability to engage people to build trust and rapport
• Knowledge of real property acquisition, interpret legal descriptions and legal documents, including trust lands.
• Ability to organize and maintain records and filing system.
• Must be able to drive for work purposes.
• Must have a current valid driver’s license
• Must be insurable under the Mille Lacs Band Drivers Insurance policy.
• Must pass a Pre-employment drug & alcohol test.

DUTIES AND RESPONSIBILITIES:
• To participate as a resource person at training sessions, committee meetings, etc.
• Maintain documentation, comprehensive and up to date files and systems that are essential components of good program management that demonstrate the program is being delivered according to proposed work mandate and work plan.
• Compile and submit statistical data using designated database systems.
• Accurately record statistical information as required and as it changes.
• Complete internal day to day administrative tasks i.e., Time sheets, check requisitions, mileage logs, expense reports, etc.
• Participate in field visits, case audits, compliance audits, program evaluations and any other specially designed processes that may be undertaken to assess the effectiveness of the Real Estate Program.
• Ensures timely collection and deposit of rent/fees and other accounts receivables.
• Inputs rent and other accounts receivables.
• Draft leasing, encumbrance and agreements for processing.
• Maintain map and survey repository.
• Other duties as assigned.

WORKNG CONDITIONS:
• Work involves office work, with occasional field work.
• Little threat of personal danger or risk.
• Hours are typically 8:00 a.m. to 5:00 p.m., but possibly with some extra hours. May involve some evening or weekend work.
• Local travel is required; travel outside the state is very limited.
