SUMMARY:
The Administrative Assistant is responsible to perform administrative and secretarial duties in support of the Four Winds Lodge Treatment Director and staff.

QUALIFICATIONS:
• A high school diploma or GED is required.
• Minimum of two (2) year secretarial experience.
• Excellent organizational skills.
• Excellent verbal and written communication skills.
• Ability to deal with confidential data.
• Strong PC skills in a Windows environment, including Word and Excel spreadsheet applications.
• Ability to understand and follow directions.
• Capable of maintaining accurate records.
• Must have current valid driver’s license.
• Must pass a pre-employment drug and alcohol test and a background check.
• Associates degree in secretarial science or equivalent combination of training and experience.
• Five (5) or more years’ secretarial experience, including experience in word processing, making travel and meeting arrangements, and acting as a liaison for the organization to outside constituents.
• Understanding of substance use disorders.
• Must have a current valid driver’s license and be insurable under the Mille Lacs Band Driver’s insurance policy.
• Applicants will be required to pass a short pre-employment test to assess their ability to communicate effectively and professionally in writing.

DUTIES AND RESPONSIBILITIES
• Compiles information, organizes data, and produces various reports.
• Has access to and handles confidential materials.
• Provides support to Intake Coordinator.
• Makes meeting, travel and special events (e.g., lecture series, conferences, etc.)
• Produces, composes and edits correspondence, and Staff Meeting Minutes and other materials.
• Performs general office support responsibilities; such as, answering phones, screening calls and taking messages; reviewing, sorting and distributing incoming mail; operation copiers and other office machines.
• Processes and monitors all contracts.
• Processes requisition supply orders for office supplies and equipment.
• Medical Assistance/Insurance monitoring and follow-up.
• Assists the Director with budget management.
• Performs other related duties as assigned by the Director.

WORKING CONDITIONS:
• Nature of work is such that incumbent experiences infrequent periods of modest stress levels due to workload.
• Work is almost exclusively I doors in a controlled climate area.
• Moderate threat of personal danger or risk.
• Hours are typically 8-5, Monday thru Friday but possibly with some extra hours. May involve some evening or weekend work.
• Local travel is required.
