Client Access Coordinator

SUMMARY:
The Client Access Coordinator is responsible for the training and continuing education of the Client Access Specialists. This individual is responsible for coaching staff in all Client Access areas on accuracy and completeness of their work; for educating all staff within the designated department; and floating in other departments, as needed. This individual performs registration duties requiring independent analyses, the ability to exercise judgement, and detailed knowledge of all departmental procedures. The Client Access Coordinator implements safety practices, as appropriate, and demonstrates whole person integrated care.
QUALIFICATIONS:
• High School Diploma or equivalent required. Associates degree preferred.
• Two years (2) of revenue cycle experience required
• Three years (3) of leadership experience required
• Post high school business training preferred
• Knowledge of ICD-10 and CPT codes
• Knowledge or understanding of computer systems.
• Knowledge of Windows and MS Office, RPMS billing software and Electronic Health Record packages.
• Ability to interact with patients, providers, and co-workers exhibiting professionalism, tact, and diplomacy.
• Ability to organize and prioritize multiple tasks and staffing needs
• Working knowledge of insurance, payer requirements, prior authorization, and documentation requirements needed for the completion of third party payer billing.
• Ability to analyze complex medical record and identify billable services.
• Experience with database management.
• Working knowledge of medical terminology, billing procedures, accounts receivable and medical insurance required
• Working knowledge of HIPAA regulations and the Data Privacy Act of 1974 and the ability to maintain strict confidentiality of patient, medical, clinic, and Band information.
• Knowledge of and sensitivity to Native American Culture.
• Must have a current valid driver’s license.
• Must be insurable under the Mille Lacs Band Drivers Insurance policy.
• Must pass a background check.
• Must pass a Pre-employment drug & alcohol test.
DUTIES AND RESPONSIBILITIES
• Registers patients/clients for the Health and Human Services departments.
• Interviews patient/client or guarantor to obtain identifying and biographical information.
• Provides education to staff, clients and patients on Health and Human Services regulations to patients/clients.
• Assists with the verification of benefits, prior authorization and the identification of those patients/clients whose health benefits require prior approval and processing.
• Interviews patient/client to obtain pertinent patient registration information, that is, demographic, insurance information and authorizations Obtains signatures on required forms.
• Collects and obtains photocopies of third party health cards.
• Obtains patient/client copays and deductibles.
• Provides education to beneficiaries on Medicare/Medicaid and/or Private/Commercial insurance will be billed for the services rendered.
• Assists patients/clients in completing new or updated forms for the RPMS registration system.
• Maintains a working relationship with all Health and Human Services Departments.
• Answers incoming telephone calls, forwards calls as appropriate.
• Schedules patient/client appointment based on needs and provider information.
• Determines the eligibility of patient seeking health care, per Health and Human Services policies.
• Ability to follow all relevant policies, protocol, regulations, and organizational objectives.
• Strong critical thinking skills, with the ability to quickly analyze complex problems, determine appropriate level of intervention, and develop and apply solutions for the client/patient access team.
• Distributes work assignments and accommodates work requirements in an efficient and effective manner under the direction of the Client Access Manager.
• Assists staff as necessary to ensure compliance with department policies and procedures.
• Maintain department supplies.
• Provide coverage as appropriate.
• Orients and cross-trains others with assigned area of responsibility as directed. May assist other areas within the department, as necessary, during times of special needs or staff absences.
• Assists with all aspects of scheduling, including employee call in notifications, and management and provisions of coverage as necessary. Assist with staff onboarding and ongoing training/education.
• Assists with confidential employee audits, report monitoring and addresses related situations.
• Assists the Client Access Manager with planning, developing, and implementing activities within the Client Access area.

• Performs other related duties as required or assigned.
WORKING CONDITIONS:
• Nature of work is such that incumbent experiences infrequent periods of moderate stress levels while dealing with patients and payers. Workload may also be a significantly source of stress.
• Work is exclusively indoors in a controlled climate area.
• Little risk of danger or injury in the job.
• Hours are typically 8-5, but possibly some extra hours.
